Documents & Knowledge
Documents
One place for business documents, instead of folders nobody can navigate.
Documents is where the paperwork of the business actually lives — created with a subject, a type and an owner, linked to the project it belongs to, and moved through workflow stages you define. Comments, internal notes and file attachments stay with the document rather than in an email chain, and privacy settings decide who can open it.
Inside Documents
What you get when you switch it on.
Document creation
Create a document with a subject, a type and an assigned user, plus optional notes. It has an owner from the moment it exists, which is the part folder structures never give you.
Project linking
Attach a document to the project it belongs to, so project paperwork is found from the project rather than by remembering where it was filed.
Privacy levels
Set a document public or private, and control attachment access from the same setting, so sensitive material does not depend on where it happens to sit.
Unique numbering
Every document gets a unique number with a prefix you choose, which makes referring to one in an email or a call unambiguous.
Workflow stages
Track a document's status through stages you define, so it is clear what is drafted, what is under review and what is finished.
Comments and notes
Comments carry user attribution and timestamps, internal notes hold the reminders that are not for the record, and both can be edited or deleted with the change tracked.
File attachments
Upload multiple files against a document, preview them before downloading, and see file size and path information without opening anything.
Preview, duplicate and export
Check a document before it is finalised or shared, duplicate it with control over what content copies across, and export it as PDF for presentation.

Where it earns its place
What teams switch Documents on for.
01
Project paperwork in one place
Contracts, briefs and reports attach to the project they belong to, so the whole file is found from the work rather than from a shared drive.
02
Documents that need review
Workflow stages show what is drafted, what is under review and what is approved, without anyone maintaining a separate tracker.
03
Controlled access to sensitive files
Privacy levels govern both the document and its attachments, so confidential material is restricted by setting rather than by folder location.

How add-ons work
Documents is not a separate app.
It runs inside GetBizApps Suite, on the same data, behind the same login.
01
Switch it on
Enable the add-on from your workspace. It appears alongside everything else already running — no separate install, no second login.
02
It shares your data
The add-on reads and writes the same customers, staff and records as the rest of the Suite, so nothing has to be re-keyed or synced.
03
Your roles still apply
Existing permissions carry across. Decide which teams see the add-on, and what they are allowed to do inside it.
04
Your price adjusts
It joins your subscription as one more enabled add-on, and comes off again if you turn it back off.

Why teams run on GetBizApps Suite.
These are customers talking about the Suite as a whole rather than the Documents add-on specifically — every add-on runs on the same platform they are describing.
We started with CRM and invoicing, but the real win was having HR, projects, expenses and customer follow-ups in the same system. Our team stopped jumping between five different tools.
GBA Suites has made our monthly operations much easier. Recurring invoices, expense tracking and payment reminders alone have saved our accounts team several hours every week.
Didn’t expect one business suite to replace our CRM + HR + project tracker + invoicing setup. GBA Suites is surprisingly flexible once you start adding the modules you actually need.

Documents questions.
What people ask before switching this one on.
Documents is a platform for creating, organising and managing all your business documents across departments. Each one carries a subject, a type, an assigned user, an optional project link and a unique number, and moves through workflow stages you define, which keeps files structured instead of spread across folders.
Documents holds the real, working documents — the ones assigned to people, linked to projects, commented on and moved through workflow stages. Document Template holds the reusable blueprints those documents are generated from. Template converts into document; document is where the work then happens.
Yes. Each document has a privacy level set to public or private, and attachment access is controlled by that same setting. Confidential material is therefore restricted by the document's own configuration rather than by where it was filed.
Comments can be added with user attribution and timestamps, and internal notes can be created alongside them for documentation and reminders. Both can be edited or deleted with the change properly tracked, and collaboration history shows user profiles and edit indicators.
Yes. Any document can be previewed before it is finalised or shared and exported in PDF format for professional presentation. Multiple file attachments can also be uploaded against a document and previewed before downloading.
Documents is billed as one of the add-ons in your GetBizApps Suite subscription. Your total is built from the add-ons you switch on, your number of users and the duration you commit to, in USD or INR. You can model it on the pricing page at https://getbizapps.com/pricing.
Documents runs inside GetBizApps Suite, so you need the Suite itself. There is no separate installation or login — enable the add-on and it appears alongside everything else you are already running, on the same data and the same permissions.
Yes. Add-ons can be switched on and off as your needs change, and your subscription adjusts to match what is currently enabled.
